The ISO-9000 and ISO-14000 standards provide the framework upon which quality and environmental management systems are to be based. Both are geared toward driving continual improvement based on the Plan-Do-Check-Act methodology. The planning stage involves establishing the objectives and processes necessary to achieve the desired results. The do portion simply means to implement the process. Results are then monitored, or checked against the stated objectives with any necessary adjustments coming through the act part of the cycle. The requirements for quality and environmental management systems are provided in ISO-9001-2008 and ISO-14001-2004 publications respectively. They do not state specifically how an organization is to meet these requirements, however. The cliché say what you do and do what you say applies here as does the saying if you didnt document it, you didnt do it. Consequently, an effective document control system is necessary to ensure that the most current revision is being used. This is vital if ISO certification is to be achieved and maintained. Although the standards do not specifically require it, there are a number of document control software packages from which a company can choose in order to properly manage its documents. Whatever system works for the organization is acceptable but, without help, document control becomes an uphill battle. Accurate records should be kept regarding the distribution of controlled documents and employees should not be allowed to keep uncontrolled copies in their possession for convenience. During an assessment, the auditor will choose a number of documents to review in order to verify that the revision in use on the shop floor matches the master copy.The task of understanding the ISO-14001 standard becomes less overwhelming if a good understanding of the organizations environmental aspects and impacts is achieved. While the wording changes made in the 2004 edition were subtle, whey were significant enough to make the standard more risk based than before. As a result, becoming ISO certified can become more of a value added and less of a bureaucratic venture than in the past. Additionally, training will become more effective as employees learn to visualize the impact their own activities have upon air, land, and water. This is reinforced through adoption of the environmental policy which should be simple enough for employees to understand but contain wording that indicates a commitment to continuous improvement and the prevention of pollution. Many companies choose to integrate their quality and environmental management systems. In fact, the ISO-9001 and 14001 standards are written so that parallel systems are not only feasible, but encouraged.ISO-9001 section 5.6 and ISO-14001 section 4.6 both require that top management review the quality and environmental management systems at planned intervals. The wording in neither standard requires that this happen annually but anything less frequent would be a hard sell in convincing an auditor of its effectiveness. The review is necessary to ensure the management systems suitability, adequacy, and effectiveness. Opportunities for improvement should be assessed and records of the review retained. The sections of the respective standards mentioned above include more detail concerning topics to be included. Both systems require an internal audit that, like management review, should take place annually. When choosing qualified individuals to conduct the audit, it is important to note that an auditor cannot audit his or her own area. One method that works great is to partner with another facility in order to help with each others audits. As a final thought, a series of mini audits conducted throughout the year may be more feasible for some companies than a single annual audit.
